Privacy Policy
This English text is provided for convenience. The Japanese version is the authoritative one and prevails in case of any discrepancy.
Okos Corporation (the "Company") sets out the following privacy policy (the "Policy") regarding the handling of user information, including personal information, that the Company obtains. For our address and the name of our representative, see Company. Where a separate privacy policy is established for a specific service provided by the Company, that policy takes precedence.
1. Definitions
- "Personal information" means personal information as defined in Article 2, Paragraph 1 of the Act on the Protection of Personal Information or in other applicable laws.
- "User information" means information relating to the identification of users, behavioral history on communication services, and other information generated or accumulated in relation to users or their devices, which the Company collects under this Policy.
- "User" means an individual who uses a service provided by the Company.
2. User information we collect and how we collect it
The user information the Company collects through its services (the "Services") and its website is as follows, depending on the method of collection.
Information provided by external services
Where a user permits the Services to link with social networking services, business communication tools, or other services provided by the Company's partners or other third parties ("External Services"), the Company may collect the following information from those External Services within the scope of that permission.
- The account name, profile image and status message the user uses on the External Service, and internal identifiers assigned by its operator
- Other information the user has allowed to be disclosed to linked services under the External Service's privacy settings
Information the Company collects when users use the Services
The Company may collect users' posts on the linked External Services described above, content submitted through the feedback page on the Company's website, and other information about access to and use of the Services.

- Referrer
- IP address
- Server access log information
- Cookies, ADID, IDFA and other identifiers
Information collected when responding to user inquiries
The Company may collect information about the content of inquiries made by telephone or e-mail. Calls may be recorded in order to accurately understand the inquiry.
3. Purposes of use
The specific purposes for which the Company uses user information relating to the Services and its website, and personal information of its employees, are as follows.
User information
- To provide, maintain, protect and improve the Services (including generating messages, images, audio and other content using artificial intelligence)
- To create statistical data in a form that does not identify individuals, in connection with the Company's services
- To provide information about and respond to inquiries regarding the Services, the website or the Company's business
- To respond to acts that violate the Company's terms, policies and similar rules relating to the Services (the "Terms")
- To notify users of changes to the Terms relating to the Services
- To deliver, display and measure the effectiveness of advertising
- To carry out the selection process for job applicants
- To hold seminars for which users have registered
- To provide information necessary for public relations activities
Personal information of business partners, participants in events and seminars the Company hosts, co-hosts or attends, and members of media in which the Company publishes articles or advertisements
- Business communication, execution and management of transactions and contracts
- Sending invitations to events, seminars and similar occasions, and other communication
- Providing information about and proposing the Company's products and services
Personal information obtained in connection with inquiries
- Accurately understanding and responding to inquiries, sending materials, and other communication
- Improving the handling of inquiries
Personal information of officers and employees
- Determining and paying salaries and similar compensation
- Administering welfare and benefits
- Operating personnel systems, employment management, training and skills development
- Surveying and considering improvements to working conditions
- Procedures and communication upon joining and leaving the Company, and other procedures required for business
- Managing employees' use of the Company's facilities
- Other tasks incidental to the above

- Communication regarding interviews, notification of results, and other communication
- Carrying out the selection process
4. Notification, publication, obtaining consent, and requests to stop use
- Except where otherwise provided, the Company obtains the user's consent before collecting user information.
- Users may request that the use of all or part of their user information be stopped by making the prescribed settings in the Services, in which case the Company will promptly stop such use in accordance with its procedures. For certain items of user information whose collection or use is a prerequisite for the Services, the Company will stop collection or use only when the user stops using the Services through the method prescribed by the linked External Service, or withdraws from the Services through the Company's prescribed method.
5. Provision to third parties
The Company does not provide personal information contained in user information, or personal information of employees, to third parties (including those located outside Japan) without the prior consent of the individual, except where disclosure is permitted under the Act on the Protection of Personal Information or other applicable laws. This does not apply where provision to a third party (including one located outside Japan) is necessary in the following cases.
- Where the Company entrusts all or part of the handling of personal information to the extent necessary to achieve the purposes of use
- Where personal information is provided as a result of business succession due to merger or other reasons
- Where it is necessary to cooperate with a national or local government body, or a party entrusted by one, in performing duties prescribed by applicable law, and obtaining the individual's consent is likely to impede those duties
- Other cases permitted under the Act on the Protection of Personal Information or other applicable laws
6. Disclosure of personal information
When an individual requests disclosure of their personal information or of records of provision to third parties under the Act on the Protection of Personal Information or applicable law, the Company will, after confirming that the request is made by the individual, disclose it without delay (or notify the individual if no such information or records exist). This does not apply where the Company is not obliged to disclose under the Act or other laws. Please note that a fee of 5,000 yen per request is charged for disclosure of personal information.
7. Correction, suspension of use and similar
- When an individual requests correction of their personal information or suspension of its use under the Act on the Protection of Personal Information or applicable law for any of the following reasons, the Company will, after confirming that the request is made by the individual, conduct the necessary investigation without delay, correct or suspend use based on the results, and notify the individual. If the Company decides not to correct or suspend use, it will notify the individual accordingly.
- The personal information is not true, and correction is requested under the Act or applicable law
- The information is being handled beyond the scope of the published purposes of use
- The information was collected by deception or other improper means
- The information is being used in a manner likely to encourage or induce illegal or unjust acts
- When an individual requests deletion of their personal information and the Company determines that it needs to comply, the Company will, after confirming that the request is made by the individual, delete the information and notify the individual.
- Sections 7(1) and 7(2) do not apply where the Company is not obliged to correct, suspend use or similar under the Act on the Protection of Personal Information or other applicable laws.
8. Cookies
The Company's website uses cookies and similar tracking and analytics technologies (collectively, "Cookies") to provide better services.
About Cookies
A cookie is a small text file exchanged between a web server and the user's browser when the user views a website, and stored on the user's device. Through cookies we may obtain attribute information that does not identify individuals, such as browsing history, service usage history and location. Users can configure their browser to be notified when a site uses cookies, to disable cookies, and to delete stored cookies. Refusing or deleting cookies may limit the functions available on the website.
Analytics
The Company's website may use analytics tools such as Cloudflare Web Analytics to understand how the site is used and to improve its services. These tools collect access information in a form that does not identify individuals.

Please note that the Company does not guarantee a response where its staff determine that a request is not based on legitimate grounds in light of applicable law and this Policy.

10. Changes to this Policy
The Company reviews its handling of user information as appropriate, strives for continuous improvement, and may amend this Policy as necessary. Where an amendment requires the individual's consent under applicable law, it applies only to individuals who have consented to the amendment through the Company's prescribed method.
